The new fresh Fileboard redesign

It’s summer, a time for renewal, refreshment and recommitment. This is exactly what we have been up to at Fileboard and now it is time to share the results with you. We expect to launch a series of great features in the coming months but will start this process with the launch of a beautiful new fresh design as of Saturday 18th of July. In this blogpost we’ll explain what we’ve changed and why.

How we started
Our customers are at the center of everything we do at Fileboard. The last year we received a lot of feedback about what you liked and disliked about Fileboard (thanks for that!) and we’ve observed lots of sales processes. It became clear to us that Fileboard didn’t really follow the generic flow of most sales people (although one can argue there isn’t something like a generic flow). As a result, simple tasks often took a lot of clicks and the general Fileboard process was hard to follow. Apart from that we’re working hard on exciting new features that are hard to implement in our current interface. So we felt it was time to take all the feedback and start working on a fresh new design.

Sales workflows
Our goal was to create an intuitive, fun and clean design. To make an interface intuitive, it needs to match the processes and thoughts of sales reps as closely as possible. So we started mapping out the different sales workflows of our customers and ended up selecting what we felt matched the generic sales flow best (as far as you can speak about a generic sales flow), and could function as the basis of the navigation and terminology of the redesign. Here it is:

1. Select Prospect(s)
Every action a sales rep takes starts with prospects in mind. Either prospects that reacted to an action you took, like sending an email, or prospects that you want to reach out to to fill your funnel.

2. Take action
The next step is to take action. You send an email, you give a live meeting, send some files, etc. This is also the moment that you select and prepare collateral.

3. See results
Once you’ve taken action, you check the results of that action. Like, did it work? Should I send another file? Did they open my email?

4. If deal is not closed, go back to #2
You keep repeating this process until the deal is closed or the prospect is lost.

5. Analytics
On top of this process is a layer of analytics. For example, Fileboard’s reports show you how your sales team’s performance, how your collateral is performing and many other insights.

The new Fileboard interface closely resembles this process. As a result, the following things have changed in the navigation:

Take Action

Your main point of entrance used to be the dashboard, and it still is but we placed it under ‘take action’. Now there’s not much action you can take here yet, but oh boy, this section is going to have some awesome sales features very soon.

Engagement is now called ‘Performance’

We felt engagement didn’t cover every use case, so we renamed this section to a more generic ‘performance’. Here is where you can see the performance of all the actions you took. You can check if that email worked, or if that file was viewed. And you can use those insights to prepare your next action.

Files moved to Collateral

Email templates were always quite hidden in the settings menu, but they are a powerful feature, so it made more sense to bundle them with files under ‘collateral’

Other things we have improved

Filters auto-hide / auto-show

People don’t filter lists like file links and live meetings performance every day. So filters are now auto-hidden when there are things to show, and auto-shown when there’s nothing found. This massively simplifies the interface and with the touch of a button you can make the filters appear.

Composing emails

Composing emails to Salesforce contacts was quite cumbersome. We’ve greatly optimized this process. You can now simply search & select Salesforce contacts in the TO field, and upon sending, Fileboard automatically finds matching opportunities and will ask you which one to log your email on.

Save emails as templates

Another super useful feature is that we’ve enabled saving emails as templates while composing emails. Simply click the ‘save as template’ button, type the template name plus scope and the email is saved as a template.

Live Meeting recaps

When ending a live meeting you could always recap the meeting by editing notes and attendees. We have now made that always possible. Simply go to any live meeting and select live meeting recap to view and edit those notes. You can also edit attendees and log the meeting on a Salesforce object.

Internet Explorer 8 support

For all our Internet Explorer 8 customers we have made sure that Fileboard looks, feels and functions as great as in modern browsers.

There are many more small changes, and this is definitely not the end of improving Fileboard. Our product developers are constantly working on making Fileboard easier to use, and on building new features that greatly accelerate your sales.
